5.3 Document Permissions settings and applications

5.3.1 File (Folder) Permission Settings

Document managers in Kedao Cloud can set file or folder permissions using two methods:

  1. Right-click Menu: Select the file or folder, then right-click and choose "Permission Settings."
  2. Root Directory: Right-click in the blank space of a file's root directory and select the "Settings" option.

Upon entering the permission settings panel, you will encounter two sections: "Specified User Permissions" and "Default Permissions". Notably, "Specified User Permissions" have a higher priority than "Default Permissions."

Specified User Permissions

These permissions allow you to grant special access to designated users or groups. By clicking "Add User" and selecting the desired user(s) or group(s), you can specify the operational permissions for these entities. The rules for handling multiple selections during permission assignments are as follows:

  • Person-Centered Principle: If a user is selected and exists in multiple chosen departments, the specified user's permissions are applied.
  • General Principle: When a user is present in multiple selected departments, the maximum permission across all departments is used.

In essence, when a user is selected multiple times under "Specified User Permissions," individual-specific permissions override others, but general permissions take precedence when no individual is specified.

Default Permissions

Default permissions apply to users other than the current administrator and specified users/groups. There are two modes available:

"Keep Original Permissions": All users, except those specified, will inherit the parent file or folder's permissions by default.
"Set Permissions": You can define permissions for all users, excluding the current administrator and specified users/groups. If no specific users or groups are designated, this setting will apply to everyone except the current administrator.

In summary, the priority order is: Designated Users > Departmental Users (where a user holds the highest authority across multiple departments) > Other Users.

Note: Be cautious when granting administrator rights. Multiple administrators have equal authority, meaning the original administrator could be downgraded or even removed by a newly assigned administrator.

5.3.2 Internal Collaborative Sharing Permissions

Internal collaborative sharing caters to the needs of users for external collaboration on personal documents and inter-departmental cooperation.

The maximum permissions you can assign to others for internal collaborative sharing are contingent on your current permissions within the directory.
