4.2 Toolbar Overview

Overview

The toolbar at the top of the Kedao Cloud file interface is designed to streamline user operations by providing quick access to commonly used file management tools. This section provides an in-depth explanation of each toolbar function, ensuring Company Admins understand its usage, permissions, and impact on user workflows.

4.2.1 Creating New Files and Folders

The New button allows users to create new content within the currently active folder. When clicked, a dropdown menu appears with options to generate various types of folders or documents.

Common creation options include:

  • New Folder:  Create a new directory to organize files.
  • New Document: Depending on the platform, users may be able to create:
  • Word: A blank file for text editing.
  • Excel: A blank file for data entry and calculations.
  • PowerPoint: A blank slide deck for presentations.
  • Text: A basic file for simple note-taking or scripting.

These options provide flexibility for different work scenarios directly within the cloud environment.

Admin Tip: Limit creation rights to specific roles or departments to maintain file structure and reduce unnecessary data generation.

 
4.2.2 Upload Files and Folders

The Upload button allows users to transfer files or folders from their local device into the Kedao Cloud environment, supporting a variety of user workflows.

Supported upload methods:

  • File Upload: Select individual files using the file picker dialog.
  • Folder Upload: Choose and upload entire folders, preserving internal structure (if supported by the browser and platform).structure.

  • Drag & Drop: Users can drag files or folders directly into the browser interface. A prompt such as “Drag and drop files here or click to upload” typically appears when hovering over the target area.

This functionality streamlines the file transfer process and supports both single and bulk uploads.

Note for Admins: Upload capabilities may vary depending on user roles, browser compatibility, platform support, and organizational restrictions. Admins can enable or restrict upload access through system policy settings.

 
4.2.3 Sort
File and Folder


The Sort function allows users to organize the displayed files and folders based on specific attributes:

  • Name: Sort files or items alphabetically by their name.
  • Type: Sort based on file type or format (e.g., PDF, DOCX, PNG).
  • Creation Date: Sort by the date the file or item was originally created.
  • Modification Date: Sort by the date the file or item was last updated or changed.

Order Options:

  • Ascending: Sort from A to Z, 0 to 9, or oldest to newest.
  • Descending: Sort from Z to A, 9 to 0, or newest to oldest.

This feature helps users efficiently locate files in large or disorganized directories.

4.2.4 Resize
 File and Folder Icons


The Resize option customizes how large the file/folder icons appear in the view panel. This is especially useful for adjusting visibility based on screen size or user preference.

Available icon sizes:

  • Tiny Icon: Extra-small size, ideal for compact UI elements or toolbars.
  • Small Icon: Slightly larger than tiny, suitable for buttons or lists.
  • Medium Icon: Standard size, best for clear visibility in menus and dashboards.

4.2.5 Change File and Folder View

The View button changes how files and folders are displayed on the interface. Users can toggle between:

  • List View – Displays files in a vertical list with details like name, type, and date.
  • Grid View – Displays files and folders as large icons (thumbnails), which is helpful for images or visual documents.
